Assistant Service Advisor

Reports to:  Service Manager

 Overview: 

 Every service professional at a BMW retail center must excel in listening, communicating and working efficiently to BMW's exacting standards.


Service Advisors help BMW owners care for their cars and understand the value of maintaining their vehicles in accordance with BMW factory guidelines. As a driver's personal link to the Aftersales department, the BMW Service Advisor establishes a critical and ongoing relationship with BMW owners. 

 Purpose of position:

 This position within The BMW Store is responsible for assisting the service advisors and loaner coordinator in the service process.  Also consulting with the customer on service work and vehicle needs in the Service Department and for selling additional needed service to customers.  The Service Advisor  Assistant is an entry level Service Advisor job that assists the senior Service Advisors in their day to day activities.

      

Qualifications for Position:

 

  • High school diploma or the equivalent. 
  • Excellent oral and written communication skills
  • Ability to read and comprehend instructions and information
  • General knowledge of vehicle mechanical operations
  • Professional personal appearance

  Duties and Responsibilities:

 

  • Greet customers in a timely, friendly manner.
  • Correct utilization of shop scheduling software - schedule and coordinate service appointments
  • Correct Pre Delivery Inspection, battery care, and PDI write up procedures.
  • Assist Service Advisors with cashiering, service write up
  • Assist Service Advisors with extended warranty claim write up.
  • Assist Service Advisors with vehicle delivery
  • Create accurate repair orders for customer vehicles and new vehicle inventory with correct serial numbers, telephone numbers and mileage information with customer signature and contact information along with an accurate estimate for check out or approved work.
  • Be Able to Fill In any position in the Service drive.
  • Assist Loaner Coordinator with loaner contracts
  • Assist with Loaner service work and tracking
  • Provide accurate and understandable explanations of repair work.
  • Test drive with customer or team leader if necessary to ensure proper diagnosis - coordinate with the Service Manager, team leader or other service personnel.
  • Determine time of completion for customer and new vehicle repair orders.
  • Advise customer of early or late delivery, or of additional repairs that may be needed.
  • Call customer throughout the day to let customer know status of car in shop.
  • Indicate on repair order the exact repair instructions, making a special note of the main reason(s) the customer brought the vehicle in. 
  • Written repair orders must be legible.
  • Provide estimates for labor and parts.  If cost of service cannot be established during reception, leave open and contact customer later for approval; this should be the exception, not the rule
  •  Handle telephone inquiries regarding work in progress and appointments

  • Compare final invoices with original repair order quote for accuracy.
  • Deliver vehicle to customer and explain all work that was performed, answer any questions and thank the customer for servicing at The BMW Store
  • Keep all service forms up-to-date
  • Be responsible for quality control, to ensure that work is completed as requested and to reduce comebacks
  • Maintain an organized and clean working environment since you represent The BMW Store & Cincinnati MINI to all customers
  • Work with route sheets so vehicle is tracked through the shop during all processes during the repair process.
  • Follow-up with the customer within 24 hours after pickup and check with customer as to satisfaction with repairs. All calls are logged on the follow-up form and turned into the service manager weekly.
  • Follow-up with declined work.

   

Working Conditions:

 The Assistant Service Advisor works in the service area, which is in an open garage area.  Position requires stooping, bending and moving throughout the service department.  May lift up to 50 pounds occasionally.  Works with service customers for most of the shift.  The Service Advisor will be exposed to noise, vibration, dust, exhaust fumes, and other hazardous and non-hazardous materials.  Road testing of vehicles also may be required.  The Assistant Service Advisor will be required to wear a dealership uniform at all times.(Shirt, Tie, Etc)

Parts Advisor

Primary responsibilities include but are not limited to:

  • Greet and serve every client promptly courteously and professionally. Answer questions and assist them in identifying and obtaining needed parts.
  • Handle orders and requests for parts efficiently via phone, e-mail and over-the-counter clients. Specify and identify parts needed to meet client requirements, so that number of parts returns due to errors is low. Use parts equipment and information resources to accurately identify needed parts.
  • Achieve BMW center goals by generating high sales of BMW parts and accessories.
  • Ensure parts are charged to repair orders.
  • Maintain inventory on shelves and in bins by performing perpetual inventories. reporting items, reporting any discrepancies in stock levels, and returning unsold items to stock.
  • Requisition non-stock or special order parts. Follow up on special ordered items, and notify the client or technicians when received. Locate out-of-stock parts from outside source and submit an emergency order, if necessary.
  • Upgrade knowledge of BMW products and services by training on-the-job and participating in educational and development programs.

Skills / Experience

  • Prior parts handling experience preferred

Parts Runner

Reports to: Parts Manager

 Purpose of Position:                                                          

This position is responsible for taking charged parts to the technician and to sign and pickup unneeded or warranty parts and take them back to the parts dept.                      

Qualifications for Position:
  • High school diploma or equivalent.
  • Excellent communication skills.
  • Good organizational skills.
  • The ability to follow processes.
  • Must pass a background check and drug screen
  • Valid driver's license with 4 points or less

 Duties and Responsibilities:

  • Will act as a liaison between the parts counter people and the technicians by staying in close contact as he picks up and delivers parts.
  • Will possess the ability to receive a pick ticket from the counter person, accurately pull those parts and deliver them to the correct technician in a very time efficient manner to help boost both moral and productivity in the service department.
  • Will be able to pick up and sign for all warranty parts per the established QMS process #8b.06. This will mean that he will sign for the correct parts and make sure that the correct repair order number is on the part. He will then return to parts and store the part in the correct area within the warranty retention area per the same QMS process.
  • This person will be responsible of performing daily inventory checks on bins that will be provided by the parts manager.
  • This person will be responsible for the daily stock keeping duties of the upstairs parts department. Which will include putting away all stock in a timely manner insuring that they are put in the correct storage area for each part.

Working Conditions:

The Parts Runner will work throughout the parts department and service department and will spend a great deal of time on their feet each day or driving around in the Store's golf cart.  He or she will also be required to lift and carry parts with weight normally under 70 LBS. There will be on occasion parts that exceed this guideline and they should ask for assistance with those parts as necessary.

Valet Driver

Description The BMW Store has immediate openings for a service driver.

Responsibilities include driving our customers from home or office; assisting customers with loaner cars; greeting our customers when they enter our service drive and working with the service manager on various customer-related tasks.
